First Actuarial LLP (referred to as “First Actuarial”, “we”, “us” or “our” in this privacy notice) respects your privacy and is committed to protecting your personal data.
This notice provides you with additional information on how we use your personal data which we collect when you attend our client conference and/or party. It should be read alongside our main Client privacy notice.
Data controller
First Actuarial will be the sole data controller for the personal data you provide to us for the client conference and/or party. This means we are responsible for deciding what personal data we need to collect from you, how to use it and how to protect it.
What information will we collect?
When you attend our conference and/or party, we will hold details about how to contact you, that you attended and any feedback you may provide.
If you provide us with information on any special requirements such as dietary or disability needs, we will only hold this information with your consent.
We may also take photographs and video recordings at the conference. Any such media will only be used to promote First Actuarial. We may share this media on our website or LinkedIn. If you would prefer that we did not photograph or video you, please let our organisers know as soon as possible.
What legal reason do we use to process your information?
Under Data Protection legislation we are required to have a legal reason to process your information. The legal reason we use is known as legitimate interest. Our legitimate interest is supporting our clients and promoting our services (to existing and new clients).
If you provide us with information on any special requirements, then the legal reason for processing your data will be consent. We will treat your request as the formal consent agreement. You may withdraw your consent at any time by contacting us using the details below. If you withdraw your consent we will not be able to meet any special requirements you may have.
Who do we share your information with?
Where a third-party process your information on our behalf, we will retain full control of your information and any third-party is required to keep your data secure and act in accordance with this privacy notice.
During events we may use Slido to create interactive live polls, Q&As, and quizzes. We will retain the data from these events for 1 months on order to analyse the responses and gauge the success of the event. Use of Slido is not required in order to attend our events. We will not transfer control of your data to any other organisation.
How long do we keep your information?
Where you have provided information on special requirements, all such information will only be used for organising the conference and/or party and will be destroyed within 2 weeks of the conference date.
Information on attendance and any feedback provided may be retained as long as you are a client of ours.
Photos and videos will be retained for no more than 7 years.
Your rights
You may ask for a copy of the information we hold on you. You may make this request by contacting us.
If, at any point, you believe the information we hold on you is wrong, you can ask us to correct it.
In some circumstances, you may also have a right to ask us to restrict the processing of your personal data, to object to processing or to transfer or erase your personal data. You can obtain further information about these rights from the Information Commissioner’s Office at: www.ico.org.uk or via their telephone helpline (0303 123 1113)
You may also raise a complaint on how we handle your personal data by contacting us. If you are not satisfied with our response or believe the way we are processing your personal data is not in accordance with the law, you can complain to the Information Commissioner’s Office.
